This privacy notice describes how Willis Towers Watson generally handles personal information collected through Willis Towers Watson’s HR Trove hrtrove.com (the “HR Trove”). This privacy notice may be revised from time to time to reflect changes in law or changes in Willis Towers Watson’s business operation. This privacy notice was last updated on 26 September 2017. 

1. SCOPE OF THIS PRIVACY NOTICE

This privacy notice only applies to the HR Trove and any other website of Willis Towers Watson where a link to this privacy notice is provided. These websites are controlled by the Group IT function of the Willis Towers Watson group (“Willis Towers Watson”), whose ultimate holding company is Willis Towers Watson plc, a company incorporated in the Republic of Ireland.

Willis Towers Watson operates worldwide with subsidiary and affiliate companies in the North America, Latin America, Asia-Pacific, Eastern and Western Europe, Russia, the Middle East, United Kingdom and Ireland. Such subsidiary and affiliate companies (as well as individual divisions of Willis Towers Watson) may have their own websites with their own privacy notices, in which case this privacy notice will not apply to such websites unless such website provides a link to this privacy notice.

Websites and specific web pages linked from hrtrove.com may be subject to separate terms of use (including separate privacy notices). You must not provide personal information if you do not accept such terms of use.

Where links from hrtrove.com are provided to non-Willis Towers Watson websites, Willis Towers Watson is not responsible for those websites. 2. WILLIS TOWERS WATSON WEBSITE

The HR Trove hosted in the United States. If you are located outside the U.S., your provision of personal information or other access to or use of our websites result in your personal information being transmitted to the United States, a jurisdiction where the laws protecting personal information may not be equivalent to the laws of your own country.

Willis Towers Watson maintains appropriate technical and organizational security measures to protect the security and confidentiality of your personal information (or your company’s information). Despite this, the security of the transmission of information via the Internet or storage of information cannot always be guaranteed, and in accessing and using our websites you acknowledge that we cannot ensure or warrant the security and privacy of any information you provide to us and you do so at your own risk.

3. INFORMATION WE MAY COLLECT FROM YOU

The information we may collect through our websites includes:

  1.      your name, address, occupation and other contact information;
  2.      information regarding your dealings with us;
  3.      any interest you have in relation to our services or our practice areas;
  4.      any information you may voluntarily submit to us by completing any form on our websites; and
  5.      details of your visits to and usage of our website including the products purchased, products placed in your cart, items saved to your wishlist, date and time of your visit, the internet address from which you visited and the resources (including products) on our website that you viewed.

We may collect the information in various ways:

  1.      from any form you may complete and submit through our websites, for example information collected from the “Contact Us” page of our website;
  2.      from the content of surveys that you may complete on our website;
  3.      from ‘cookies’ and other similar tools deployed on our websites (for further information regarding cookies used on our websites, please see Section 6 below).
  4.      from other sources, such as public databases, joint marketing partners, social media platforms and from other third parties.

4. WHAT WE MAY DO WITH YOUR PERSONAL INFORMATION

We may use information held about you in the following ways and for purposes specified in the relevant parts of the website:

  1.      to facilitate your participation in interactive features you may choose to use on our websites;
  2.      to correspond with you, notify you of events or changes to our service, or otherwise to respond to your queries and requests for information, which may include marketing to you; and
  3.      for the purposes of providing professional services to you via Willis Towers Watson applications; such services will be subject to additional terms and conditions of use including privacy.
  4.      for our business purposes, such as data analysis, audits, fraud monitoring and prevention, and developing new products, enhancing, improving or modifying our websites, identifying usage trends, determining the effectiveness of our promotional campaigns and operating and expanding our business activities.

5. DISCLOSURE OF YOUR INFORMATION

Willis Towers Watson may disclose your personal information to any company affiliated or associated with Willis Towers Watson for the uses and purposes set out above. We may disclose your personal information to independent third parties:

  1.      if we are obliged to disclose your personal information under applicable law or regulation, or in order to enforce or apply our website terms of use, or to protect the rights of Willis Towers Watson, our clients, or other parties;
  2.      in accordance with the separate terms and conditions of use that may attach to Willis Towers Watson website links; and
  3.      where this is necessary for the uses and purposes set out above (for example, where some aspects of our websites’ operations are outsourced to a third-party service provider).
  4.      to any third party service providers such as entities providing customer service, email delivery, auditing, hosting our website and other services.
  5.      to third parties involved with events that you register for, to facilitate your participation in those events.

6. COMMUNICATIONS

We send promotional emails to users who have registered on the site and to those who have opted in to receive such emails. Generally, you may not opt-out of service-related or transactional communications, which are not promotional. If you do not wish to receive service-related communications, you may terminate your account by contacting HR Trove Support at support@hrtrove.com. However, you can opt-out of promotional communications by using the "Unsubscribe" link and following the unsubscribe instructions in any electronic communication or by emailing us at support@hrtrove.com.

7. COOKIES AND INFORMATION COLLECTED FROM YOUR COMPUTER

When you visit our website, our server may record your IP address for the purposes of systems administration. In most cases, your IP address is not linked to any of your personal information, but in limited circumstances (e.g. if you log into restricted parts of our website), your IP address can be linked to your personal information. Willis Towers Watson may also gather other non-personal information from you (from which Willis Towers Watson cannot identify you), such as the type of your internet browser, which Willis Towers Watson uses to provide you with a more effective service.

Additionally, when you visit our websites, Willis Towers Watson may store a ‘cookie’ on the hard drive of your computer. Cookies are small text files that a website transfers to your hard drive to store and sometimes collect information about your usage of websites. In order to help us improve our websites and the services we provide and to improve your experience of using our websites, our websites use three types of cookies and tracking:

  1. Session cookie. This type of cookie is used for e-commerce actions, such as wish listing products or saving products in a cart, or on those parts of our websites that are restricted and can only be accessed by authorized users who typically authenticate themselves through their user IDs and passwords. This type of cookie is essential to keep authenticated users logged into our websites and save products or information which enhance the site experience. The cookies will be stored on your computer and the information held in it will be accessed automatically when you visit the website again. The expiration of session cookies varies by type.
  2. Tracking cookies and scripts. These cookies and scripts are used on our websites in order to track movement around the websites and collect audience data, such as gender, age, and interests, and activity data, such as pages visited, to better understand the customer behavior and improve our site experience. We may receive reports based on these technologies on an individual or aggregated basis.   3. Internet-Based Online Advertising.  Web beacons, a clear picture file, is used to keep track of your navigation through our website when sourced from one of our digital advertising campaigns. This web beacon collects information in an anonymous form to assist in monitoring and tracking activities. We partner with third parties to use this information, along with data collected by our partners, to provide advertising on our websites and other sites that is more closely targeted to your interests and preferences. You may opt out of the automated collection of information by third-party ad networks for the purpose of delivering advertisements tailored to your interests, by visiting the consumer opt-out page for the Self-Regulatory Principles for Online Behavioral Advertising at http://www.aboutads.info/choices/ and edit or opt-out your Google Display Network ads’ preferences at http://www.google.com/ads/preferences/. Because those opt-out and preference control pages are specific to the individual browser used to visit it, and because that page is not operated by Willis Towers Watson, we are unable to perform the opt-outs on your behalf.

You may refuse to accept cookies by activating the setting on your browser that allows you to reject cookies. However, if you select such a setting, this may affect the functioning of our websites. Unless you have adjusted your browser setting so that it will refuse cookies, our system will issue cookies when you access or log on to our websites.

Please note that our websites do not recognize or respond to any signal which your browser might transmit through the so-called ‘Do Not Track’ feature your browser might have. Enabling such feature on your browser will not necessarily affect the way in which our websites operate, and if you wish to disable cookies on our websites, you should not rely on any ‘Do Not Track’ feature your browser might have.

Despite this, the security of the transmission of information via the Internet cannot always be guaranteed and you acknowledge this in your access and use of our websites.

9. CHANGES TO OUR PRIVACY POLICY

From time to time, we may change our privacy notice and post those changes to our website located at hrtrove.com. The effective date of this privacy notice, as indicated at the beginning of this privacy notice, indicates the last time this privacy notice was revised or materially changed. Checking the effective date below allows you to determine whether there have been changes since the last time you reviewed the policy. We will notify you of changes to this privacy notice by posting the revised privacy notice on our website.
